Executive Assistant

URGENT FULL TIME POSITION

Station: Makati City

QUALIFICATIONS:

  • Bachelor’s degree in Office Administration or related field
  • At least 2 year experience in administrative work
  • Strong leadership skills, critical thinking and organization
  • Excellent English communication skills
  • Experience in Sales is an advantage
  • High degree of professional independence, initiative and self-discipline
  • Possesses attributes in troubleshooting, customer service, orderliness and time management
  • Computer skills, proficiency in spreadsheet management and word processing, as well as other computer-based skills to digitally manage and monitor General Manager’s (GM) activities or daily operations
  • Knowledge of Photoshop and graphic design is an advantage
  • Willingness to travel when needed

DUTIES AND RESPONSIBILITIES;

  • Provide support mainly to the GM (and to other company Executives when needed).
  • Manage and maintain GM’s schedules, appointments and travel arrangements.
  • Arrange and coordinate GM’s meetings, conference calls and events; or represent him when needed.
  • Record, transcribe and distribute minutes of meetings.
  • Conduct research, collect and analyze data needed to prepare reports and documents.
  • Prepare correspondence, communications, and presentations for the GM.
  • Monitor, screen, respond to and distribute incoming communications.
  • Receive and interact with incoming visitors.
  • Liaise with internal staff at all levels.
  • Interact with external clients as needed
  • Coordinate project-based work as needed
  • Provide support to various departments or teams in the company, when needed.
  • Coordinate between departments and operating units on special projects and events.
  • Design, maintain and monitor databases.
  • File and retrieve documents and other reference materials.
  • Review operating practices and recommend/implement improvements where necessary.
  • Other tasks may be assigned from time to time
